1. The items detailed below are for informational purposes only and represent the set of information, rules, and obligations commonly required by rental companies.
2. Each rental company has its own specific contract specifications, which is why it's important to read them carefully before signing them at the time of opening.
3. BookingCars is not responsible for any changes and/or requirements made without prior notice by rental companies. Any questions regarding these procedures and requirements should be addressed in advance, as this may make it impossible to open the vehicle rental contract.
4. Rental Agreement: The rental agreement represents a set of information, rules, rights, and obligations between the rental company and the lessee regarding the contracted services. The rental company will present the agreement to the lessee on the day of vehicle pick-up, and the lessee is responsible for thoroughly reading its terms. Some rental companies may offer the option of a rental agreement in their native language. It is the lessee's responsibility to inquire about its availability before signing.
5. Minimum Customer/Driver Age: 25 years. Licensed drivers between 21 and 24 years of age will be subject to additional fees from the rental company. Specific age limits may apply for some countries or vehicle categories. Consult our experts for more information.
6. Driver's License: The renter must present the rental company with a valid physical national driver's license valid for the entire rental period. Drivers may only rent vehicles in the categories their license allows them to drive. In some cases, an international driver's license must also be presented along with their home country's driver's license.
7. Passport: The renter must present the rental company with a passport from the same country as the original, valid driver's license to open the rental contract.
8. Credit Card for Security Deposit: The renter must present the rental company with a valid international credit card in their own name and with sufficient available credit limit for the security deposit (the name must be printed on the card, along with the 16 digits. Cards without the printed name are not accepted). Third-party credit cards, prepaid credit cards, or credit cards not authorized for international transactions will not be accepted. Credit cards will be accepted at the rental company's discretion at the time of opening the rental agreement. The security deposit varies depending on the type of vehicle rented and the period of use and may be retained by the rental company in the event of a breakdown of the rented vehicle or to pay for optional services contracted directly at the rental counter.
9. Restrictions: Rental companies reserve the right to require more than one specific credit card with an available limit to allow pickup of certain vehicle categories. These restrictions apply in different locations, so we recommend checking with the rental company for more information.
10. Booking Confirmation Document (voucher): The voucher represents the vehicle reservation guarantee with the rental company and must be presented in printed form at the time of opening the contract. This document contains the essential reservation details (name of cardholder, confirmation number, dates, etc.), which must fully match the rental company's records. Failure to present the voucher may prevent you from using the contracted service, as well as from verifying the amount paid in advance. It is important to note that this document cannot be modified or edited by the renter for any reason, as any alteration may invalidate the reservation.
11. Currency: The value of the prepaid reservation in your home country is usually expressed in local currency converted according to the daily exchange rate, since the original currency of the rate is in American Dollars (USD).
12. Payment of Fees and Additional Optional Items: Any additional services, products, or accessories purchased by the renter from the rental company on the day the rental contract is opened or during the rental are the renter's responsibility, and payment for these fees must be made directly at the rental office. Once the contract has been signed and the rental has begun, any purchased optional services cannot be canceled and will not be refunded.
13. No Smoking: Smoking is prohibited inside the rental vehicle. A fine may be applied, the amount of which varies between car rental companies and can therefore only be confirmed at the destination.
15. Vehicle Return: Failure to return the vehicle on the date specified in the Booking Confirmation Document (voucher) will constitute misappropriation and result in search and seizure action in addition to other civil and criminal penalties.
16. Vehicle Pickup Time: The rental company will guarantee vehicle availability until the earlier of the following: 29 minutes after the agreed-upon pickup time or until the corresponding office's closing time. After this period has elapsed without the renter showing up, the reservation will be automatically canceled by the system under the condition of a No-Show, forfeiting the right to use the service and with no refund of the amount previously paid. The rental company may also apply penalties for late arrivals, according to its commercial policies. In the event of delays of any kind—including, but not limited to, airline delays, flight rescheduling, or overbooking—the renter must report the situation directly to the rental office indicated on the Booking Confirmation Document (voucher), using the contact number provided therein. If the office cannot be reached, it is recommended to contact the support team immediately to evaluate the possibility of rescheduling the pickup time. It is important to note that any modification to the original schedule may result in an increase in the previously contracted rate, the difference of which must be borne by the tenant.
17. Vehicle Return Deadline: The renter must return the vehicle to the rental company on the date, time, and location specified in the rental agreement. After the scheduled return time, the rental company reserves the right to adjust the reservation value by adding fines and/or additional fees based on the amounts already stipulated at the counter. We suggest you arrive at the rental office to return the vehicle at least four hours before your departure time. This will ensure sufficient time to complete the contract and return to the airport.
18. Rental Office Hours of Operation: Office hours are subject to change without prior notice. In the event of pickup or return on a date, time, or location other than that specified in the rental agreement, the renter is responsible for verifying availability with the rental office or BookingCars.
19. Extending the Return Date: If the renter needs to extend the vehicle's return date, they must notify the corresponding rental office in advance. Any extension request must be duly authorized by the rental company and is subject to vehicle availability and the updated rates. The contract cannot be extended unilaterally by the renter and will only be valid once confirmed by the rental company. Failure to provide this advance notice may result in additional penalties and surcharges, in accordance with the rental company's current policies.
20. Drop-off or Shuttle Service: To use drop-off or shuttle services, the renter must provide their flight number and airline in advance. These services will only be provided at car rental offices located outside the airport complex. Failure to provide this information may result in the rental company canceling the reservation without prior notice.
21. Optional Services and Accessories: The renter may request, directly at the rental office upon vehicle pick-up, optional services and accessories such as a baby seat, GPS, roadside assistance, among others, depending on the rental company's availability and commercial policies. These items entail an additional cost, which will be communicated at the time of rental and must be paid at the destination. Once accepted and incorporated into the rental contract, these services and accessories are non-refundable.
22. Additional Driver: The addition of an additional driver must be arranged at the time of opening the rental agreement. This driver must be physically present at the time of signing the agreement and will be subject to the same conditions and requirements as the primary renter. The additional driver cannot be responsible for picking up the vehicle or acting as the reservation holder under any circumstances. They must also be at least 25 years of age, without exception. Rental companies do not accept additional drivers under 25 years of age, even if a young driver surcharge is charged, as this exception does not apply to this role.
23. Vehicle Group: Vehicles will be reserved by group and cannot be guaranteed based on make, year, model, color, license plate, or configuration. Models are subject to change without prior notice during the rental company's fleet renewal. Luggage capacity is merely indicative and may be reduced depending on the number of passengers and the number and size of luggage to be transported. If the number of passengers and/or luggage exceeds the capacity of the rented vehicle, BookingCars is not responsible for the denial of the reservation or the additional charge for the category change. It is common to offer an upgrade at an additional cost at the time of vehicle pick-up. If the upgrade is accepted by the renter, the prepaid amount will be applied as part of the payment, and the difference will be charged directly to the renter's credit card.
24. Return/Drop-Off Fee or One-Way Fee: This is the fee charged when the vehicle is returned to a different location than the pickup location. It is necessary to check in advance which locations allow this option, and it must be paid directly to the rental company. When the vehicle is returned to a rental location other than the one specified in the rental contract, in addition to the return fee, the rental company may charge an additional fee for breach of contract. The rental company may choose to accept or decline the return at another location without prior negotiation.
25. Border Restrictions: Rental companies reserve the right to restrict or charge additional fees for crossing borders between states or countries with their vehicles. This varies by rental company, destination, and vehicle category. It is the renter's responsibility to inform the rental company in advance of their itinerary if they plan to cross a border. Additionally, some rental companies may require additional requirements for authorizing this type of travel, such as a border-crossing fee, specific vehicle categories, increased security deposits, presentation of a border-crossing authorization form, formal application for permission at least 72 hours in advance, etc. Failure to comply with these requirements may prevent the rental company from authorizing the border crossing.
26. Additional Charges: Additional charges not shown on the voucher will be charged directly to the renter by the car rental company, using the credit card used to secure the security deposit. Some examples of additional charges include traffic fines, damage or breakdowns caused to the vehicle without coverage, fuel, tolls, optional damage coverage, and services and accessories purchased directly at the rental location. Other additional charges may apply at the rental company's discretion.
27. Traffic Fines: Payment to the responsible authority in the country and civil and criminal liability for traffic fines will be the sole responsibility of the renter. The car rental company reserves the right to mediate and/or advance payments, which will be subsequently collected from the renter. In such cases, the rental company may also charge administrative fees.
28. Early Vehicle Return: No refunds are issued for unused rental days.
29. Rate Update: Reservation rates are based on the information contained in the voucher. Rates may be modified when: a) changes occur in the itinerary, groups, services, and reservation information; b) optional services and items are included or excluded; c) additional charges are introduced by the rental company that were not calculated when issuing the reservation or were not presented in the voucher; d) the rates scheduled for payment at destination have been altered by the car rental company. If the renter disagrees with the recalculated rates presented in the contractual document, the renter may dispute them directly with the rental company. The renter's signature of acceptance of the contract will be interpreted as an agreement between the parties; any potential additional charges cannot be disputed later.
30. Vehicle Inspection: When this procedure is offered by the rental company, the renter is encouraged to actively participate in the vehicle inspection upon pick-up. It is essential to verify and record the vehicle's general condition, including cleanliness, hygiene, state of repair, and presence of damage, scratches, dents, or any other visible damage. If the renter is not satisfied with the condition of the vehicle upon return, the renter must immediately inform the rental office staff in order to provide a formal record or, if applicable, request an exchange. Additionally, it is advisable to take photographs or videos of the vehicle upon pick-up, including records of the exterior and interior, as a backup for any discrepancies upon return. The rental office is authorized to charge for damage, breakdowns, or deterioration incurred during the rental period, as well as for cleaning and disinfection services, if the vehicle is returned in a condition that does not correspond to its original condition. These charges will be applied according to the table of values established by the rental company.
31. Vehicle Documents and Safety Features: Check the vehicle's documentation and the presence of the following safety features upon picking up the vehicle: spare tire, jack, lug wrench, warning triangles, and fuel tank level.
32. Fuel and Refueling: The vehicle will be returned to the renter with a specified amount of fuel, generally with a full tank, and must be returned in the same condition. If the vehicle is returned with a lower fuel level than received, a refueling charge will be applied according to the current fuel table, available at the rental counter. This exemption may only be applied if this condition is expressly included in the contract or if the service was contracted at the destination at the time the rental contract was opened (Fuel Option or similar). To avoid any dispute upon return of the vehicle, it is recommended that refueling be carried out immediately before return, ideally within a radius of no more than 5 km from the return location, and that the fueling receipt be retained. If paying by credit card, it is suggested that it be in the name of the reservation holder, as this receipt will also be considered valid as support in the event of claims or fuel level discrepancies.
33. Items Not Covered/Mandatory Insurance: The renter will be subject to the clauses contained in the rental company's rental agreement. As a general rule, damage coverage does not include, but is not limited to, the following items: accessories, damaged tires, damaged rims, damaged suspension due to potholes or impacts, cracks in the windshield, damage caused by flooding or any other natural disaster, loss or damage to the key and/or vehicle documentation. These items may vary between rental companies and must be confirmed at the time of vehicle pick-up. Carefully check the details of the vehicle damage coverage available in your reservation. If you are interested in purchasing available damage coverage or if there is a disagreement regarding the conditions presented, the renter should contact BookingCars. BookingCars is not responsible for the loss of vehicle coverage due to driving by unauthorized persons, driving under the influence of alcohol or drugs, or failure to comply with current traffic regulations.
34. Co-participation and/or deductible amounts: When applicable, the co-participation and/or deductible amounts and rates will be determined in the rental agreement. In the event of breakdowns or damage to the vehicle, the rental company will charge the customer directly. In addition to these charges, the rental company may also charge for the period the vehicle was down for maintenance. Find out how these charges or fees work when you open the rental agreement; each company has its own specific requirements.
35. Traffic Accidents: In the event of an accident, theft, or damage to the rental vehicle, it is essential that the renter immediately notify the car rental company and file a police report. The renter must complete the car rental company's accident report form within 24 hours.
36. Cancellation: The customer must contact BookingCars to request cancellation of their reservation before the scheduled pickup date and time. Once canceled, the reservation cannot be used. Reservations can be cancelled free of charge up to 24 hours before the pickup date and time. Cancellations made between 24 hours and 12 hours before the pickup time will incur a 50% penalty. Cancellations made less than 12 hours before the pickup time will incur a 100% penalty. If the reservation is canceled by the rental company due to the customer's failure to meet minimum requirements (minimum age, valid driver's license, valid passport, valid credit card for the security deposit in the driver's name, printed voucher, etc.), or the customer fails to show up to pick up the vehicle for any reason, the penalty is 100%.
37. Reservation Modifications: Requests to change your reservation will be subject to a pre-screening of vehicle availability and a rate update based on the current rate table and currency exchange rate at the time of the modification request, which may differ from the one used in the reservation prepayment.
38. Duplicate Booking: The rental company may prevent the same owner from opening more than one rental contract for the same period. Therefore, if you need to make two reservations under the same name, we recommend contacting BookingCars for advice.
39. No-Show: A 100% penalty is charged if the passenger does not appear on the day the contract is opened.
40. Vehicle Unavailability: BookingCars is not responsible for the rental company's failure to fulfill its obligations regarding the availability of the vehicle for the service. It is the renter's responsibility to inform BookingCars of any difficulties presented by the vehicle rental company at the time of opening the rental contract or picking up the vehicle. BookingCars cannot be held responsible for any loss, alteration, cancellation, or delay due to force majeure, including airline incidents, civil conflicts, natural disasters, or other causes.
41. Failure to Meet Rental Requirements: The rental company may refuse to open a rental contract to any person who does not meet the requirements established by the company, or who is deemed unfit to drive a vehicle.
42. Ownership of the reservation: The reservation confirmation document (voucher) is individual and non-transferable.
